A report prepares a view of your information for a specific question. You choose the report, dates, and included records; FTE Tree calculates the result for that run. You can review the completed result and, with the required access, download it as CSV or Excel.

Choose the question before the report

A snapshot describes information on a date. A trend or period report describes information across time. Read the report description to see whether its financial amounts are annual rates, amounts allocated to periods, or another measure. A yearly rate and a total for six months cannot be compared as though they cover the same time.

Know what determines the result

Dates, departments, filters, calculation source, and the chosen measure all affect a report. Some reports also let you choose grouping or a cost allocation method. Your edition and permissions determine which reports and records you can include.

For example, a position can have 1.0 approved FTE but only 0.5 assigned FTE. A report of position capacity and a report of assigned staffing can both be correct while showing different totals. Labor budget and actual compensation likewise describe different costs and should not be added together.

Understand a saved run

Running a report prepares a result using the selected criteria and available information. A completed run keeps that result; it does not continually update when records change. Run again reuses the saved choices to prepare a new result.

That distinction matters when investigating a difference. A report created before a correction can differ from the current position page or a new report for the same date. Keep the report’s dates, filters, and preparation time with any downloaded copy.

Review the result before using it

  1. Confirm the report answers your question and covers the intended dates and departments.
  2. Read warnings and any missing-information labels.
  3. Inspect a few detail rows against the relevant records for those dates.
  4. Compare totals only with the same measure, dates, filters, and calculation choices.
  5. Download and share the result only with people authorized for its contents.

Completed means report preparation finished. A row can still need setup or a subtotal can be provisional. Missing financial information is not a zero cost. Use Report totals do not match to investigate an unexpected result before changing records.

Choose reports or imports

Reports read information; imports apply changes from a prepared file. A report download is not automatically a valid import template. If you need to update several records, follow Understand imports and download the template for that task.
