Authorize and fill a replacement vacancy
Approve replacement hiring for an existing position, then record the replacement assignment separately.

Replacement hiring authorizes filling an existing approved job. It does not create another position or select the new employee.
Before you begin
Complete the first staffing result and the assignment lesson. In the separate staffing practice organization, prepare Practice replacement, an approved vacant 1 FTE position in Outpatient Services from January 1, 2027, using Patient Services Coordinator and Weekdays. Create Alex Practice, Active and 1 FTE with the same department and classification, without an assignment.
Use the first module’s creation and approval instructions with these reserved names. Record both numbers. The setup administrator must select the review step for Replacement hiring, assign an independent eligible reviewer to Outpatient Services, and supply its reason and any required fictional file. The requester and reviewer must be different people.
Request replacement hiring
- Open Practice replacement on July 1, 2027. Confirm it is active, approved at 1 FTE, and vacant.
- Start Replacement hiring, complete the offered date and reason fields for the July vacancy, and attach the prepared file if required.
- Review the position number, proposed action, dates, and reviewer before requesting approval.
- Have the eligible reviewer complete the required steps and wait for the recorded outcome.
- Reopen the position. Its number, department, and approved FTE remain the same. It is still vacant because no assignment has been added.
If a required review or file is missing, finish the preparation rather than changing the workflow to bypass it.
Fill the authorized vacancy
- Add a regular assignment for Alex Practice to Practice replacement from July 1, 2027, at 1 FTE, using Weekdays.
- Reopen the position on June 30 and July 1.
- Confirm 1 vacant FTE on June 30 and 1 assigned / 0 vacant FTE on July 1. The approved position remains 1 FTE on both dates.
- Record the replacement request and assignment references separately.
In Workforce Budgeting, employee pay requires a separate authorized entry. A replacement request does not copy the former employee’s salary or prove the replacement’s cost is complete.
Check your understanding
Find the completed replacement request, the unchanged position number, and Alex’s assignment. Explain why the position was still vacant after approval and what finally filled it. Keep the completed request and assignment for later review.
