Set up your organization and manage access Settings

Your organization may use different names for people, departments, or other records. Navigation uses those names. Available areas also depend on your edition, permissions, and department access. Ask your administrator if an area you need is missing.

Position Control includes positions, staffing, requests, and custom fields. Workforce Planning adds budgets, employee pay, forecasts, adjustments, and financial reports. Budget and employee pay have separate permissions. Access to positions or forecasts does not automatically include either financial area.

Review your work on Home

  • Needs my review shows approval steps assigned to you that are ready for a decision. To see more, open Requests, then My approvals.
  • My requests shows active requests you submitted. Open a request for its current status and next steps.
  • Notifications shows current assigned actions and unread notices. Open the linked record to review the work. Reading a notice does not complete an action.
  • Recent positions and departments help you return to records. The recent positions list shows up to five of your most recently visited positions that you can still access. Use Activity on a record when you need a history of changes.

Cards and shortcuts may be hidden when there is no matching work or you do not have access. Requests available through administrative access appear in Administrative approvals; they are separate from your assigned reviews.

  1. Use the search field in the FTE Tree header. Enter a distinctive name, position number, or identifier.
  2. Choose a matching suggestion, or open the full search results to see more matches.
  3. Use the result categories to narrow your search to the kind of record or page you need. You can also find navigation and settings pages by name.
  4. If there are too many matches, add a more specific word or number. Clear the search to start again.

Search includes only information you can view in the selected organization. If an expected record is missing, check the organization and your access before asking an administrator to investigate.

Help opens guidance for your current page. Search within Help when you need instructions; search in the FTE Tree header when you need a record or setting.

To change the order of a list, select a sortable column heading. On a small screen, open Sort records above the list and choose a field. Select the same field again to reverse its order. Sorting applies to all matching records, including those on other pages, and keeps your current filters.

Check the date before interpreting a result

Many values change on an effective date. A position moving to Finance on October 1 appears in its previous department on September 30 and in Finance on October 1.

Confirm the selected date before comparing FTE, staffing, rates, or costs. A report for a period may answer a different question from a page showing one date. See Understand effective dates for date ranges and scheduled changes.

Keep budgets, pay, and forecasts distinct

A position describes approved capacity, whether vacant or staffed. Its labor budget uses planning rates. Employee pay belongs to a person or assignment and supplies actual compensation results. A forecast lets you try changes before approving and applying them.

Do not add labor budget and compensation together as one total. Missing financial information is not zero. Ordinary currency custom fields do not provide the separate access protections used for employee pay.

Try a first review

  1. Find a familiar position and open its Summary.
  2. Check its department, job code, work schedule, reporting line, and approved FTE for the selected date.
  3. Compare approved FTE with its active assignments. Open Issues if information needs attention.
  4. Use Activity to see recorded changes, or open a related request to understand its proposal and decision.

Before you later save, submit, approve, or apply a change, check the organization, record, date, and confirmation. For organization setup, follow Set up and maintain your organization.
