When a record or action is missing, check the selected organization, effective date, filters, record status, named permission, and department access before assuming the information was deleted.

FTE Tree can allow you to view a record without allowing every action or protected amount on it.

Before you begin

Each permission limited by department must cover the record’s department. Setup, approval, import, report-export, user-access, security, and billing actions use their own named permissions.

Check the basic context

  1. Confirm the organization shown in the organization selector.
  2. Clear search text and filters.
  3. Check the selected effective date or report period.
  4. Turn on the applicable archived or unavailable filter.
  5. Open the record directly from a related page when possible.
  6. Refresh after an administrator changed your access.

If the item appears after one of these checks, no access change is needed.

Check the record’s status and dates

The item may be:

  • A draft rather than approved.
  • Archived or unavailable.
  • Scheduled for a future date.
  • Ended, cancelled, voided, or deactivated.
  • Visible only in saved history.
  • In an active request that locks conflicting actions.

Use the record’s status, dates, and activity history to understand what happened.

Check permissions and department access

Access has two parts:

  1. A named permission such as View positions, Manage employees, or View actual compensation.
  2. The departments where those permissions apply.

A role with a No department access entry grants no department access. Access to a higher-level department includes the departments beneath it only when the saved selection says it should.

Ask someone who can manage user access to review all the roles and departments that currently provide your access, not only the name of one role.

Understand separate access types

  • Position access does not automatically reveal employee names.
  • Employee access follows the employee’s owning department.
  • Labor budget, actual compensation, and forecasts use separate permissions from position control and from one another.
  • Approval assignment can allow request participation without broad edit access.
  • Administrative responsibility does not automatically reveal every department or pay.

This separation protects sensitive information while allowing work to continue.

If an action button is missing

Check:

  • You have the management permission for the record’s department.
  • The record’s current status allows the action.
  • No active request or other relationship blocks the action.
  • The effective date provides valid choices.
  • The action is allowed for your relationship to the work, such as requester or assigned approver.
  • A protected action normally asks for MFA after you submit its form; opening the form does not explain a missing action button.

Read the page’s status and guidance. Some actions appear only when they can safely succeed.

If exact pay or costs are hidden

Labor budget amounts require the View labor budgets permission for every department used by the result. Actual compensation requires the View actual compensation permission for every included department.

You can still see permitted non-compensation information.

After an access change

Access changes take effect when you next open a page or take an action. Refresh or open the page again. Company sign-in does not assign FTE Tree roles, so ask an administrator to review the person’s current role and department access in FTE Tree.

Information for someone who manages user access

Provide:

  • Organization.
  • The kind of item and its number or name.
  • Expected action.
  • Department.
  • Selected effective date.
  • Whether the issue is visibility, editing, employee name, or compensation.

The administrator should review the person’s full access and activity history rather than granting a broader role as a quick test.
