Workforce rules

Set budget limits and staffing requirements for every decision.

Define your own FTE requirements and financial limits. Choose when to monitor results, warn reviewers, or block a change that does not meet the requirement.

Example

Clinic rule checkNeeds review
Assigned FTE target6.0Registered Nurse job code in the clinic
Proposed assigned FTE5.5
FTE shortfall0.5
Annual budget limit$500,000
Proposed annual cost$520,000

Your policy, applied to the plan

A staffing proposal falls short of the FTE target.

A clinic sets a fixed minimum of 6.0 Assigned FTEs in its Registered Nurse job code. The proposed plan provides 5.5 Assigned FTEs in that department and job code.

Requirements in the decision

See whether a proposed change meets your rules.

Apply dated rules to a department or the whole organization, with an optional job-code filter. Review the target, measured result, and difference using the staffing and financial information behind the decision.

What workforce rules can check

Budget limits

Check budgeted capacity, staffed budget cost, or calculated compensation against a minimum or maximum. Set financial limits for a complete budget period.

Staffing requirements

Compare approved position FTE or assigned FTE with a fixed minimum or maximum target.

Department and job-code targets

Check a department's staffing overall or focus a rule on one job code, such as Registered Nurse.

Review decisions and saved results

Choose whether to monitor, warn, or block a change when someone submits it, approves it, or applies it. Save evaluations with the requirements, measurements, and results you reviewed.

How it works

Define the requirement, evaluate the plan, and review the result.

  1. 1

Choose where the workforce rule applies and when it starts and ends.

  2. 2

Set the measure, requirement, and action at each review stage.

  3. 3

Evaluate approved information or proposed changes and review any gaps.

  4. 4

Resolve unmet requirements and save the evaluation for review or reporting.

Staffing and financial rules use the same review process.

Choose the edition and access that match the information your team needs to evaluate.

Staffing rules in Position Control

Review approved position FTE and assigned FTE against your staffing targets.

  • Apply rules to the whole organization or a department.
  • Date policy changes and optionally restrict a rule to one job code.
  • Control who can view and manage rules through workforce rule and position permissions.

Financial rules in Workforce Planning

Add budget and compensation limits, then evaluate the effect of proposed workforce plan changes.

  • Control access to budget and compensation rules through their separate financial permissions.
  • Check proposed changes against the rules that apply before submission, approval, or application.
  • Save evaluations and create reports; file downloads require export permission.

Decisions in practice

Check staffing and budget requirements together.

See where a proposed plan meets your requirements and what needs to change before approval.

Staffing example

Staffing rule: For the clinic example, 5.5 Assigned FTEs in the Registered Nurse job code are below the fixed minimum of 6.0. The staffing requirement is unmet.

Budget rule: The same proposed plan has $520,000 in budgeted cost of approved positions for the year against a $500,000 annual limit, a $20,000 excess.

Review action: If both rules are set to block application, the selected plan changes cannot be applied while either requirement is unmet. Revise the proposal and evaluate it again.

Questions you can answer

  • Does the proposed staffing meet our FTE targets?
  • Would the change keep labor costs within our budget?
  • Which requirements need attention before approval?
  • How does a workforce plan measure up against our workforce rules?

Choose which requirements should warn reviewers and which should block a change.

Saved evaluations keep the results you reviewed. Approval checks assess the proposed change against current requirements.
