Manage notifications and email
Choose approval emails, read and archive notifications, and check why an expected message has not arrived.

Notifications call your attention to assigned work, request outcomes, mentions, and account events. They do not grant access: your current permissions determine whether you can open the related record.
Choose approval emails
Open Profile, then Email notifications in the organization. Choices are saved separately for each organization.
For Requests needing my action, choose Immediately, Daily summary, or In FTE Tree only. Work appears in My approvals immediately in every mode. A daily summary is sent after your chosen time only when there is new or due work; it is not a daily copy of all outstanding requests.
Requests I submitted controls final-result emails for your own requests and starts on. Requests I acted on controls results for requests you approved or denied and starts off. When both apply, the submitted-request choice takes precedence.
Sign-in, security, invitations, billing, and service email have separate delivery rules.
Who receives notifications
| Event | Who receives it and how |
|---|---|
| Approval step ready or reminder due | People assigned to the active step; email follows their preference |
| Request approved, denied, cancelled, or invalidated | The requester and people who recorded decisions; in FTE Tree, with optional result email |
| An administrator records a response for an approver | That approver, in FTE Tree only |
| Comment mention | The mentioned active member who can view the record, in FTE Tree only |
| Organization created or invitation accepted | The person who completed the action |
| Email delivery problem | The affected member, in FTE Tree only |
A job title or role name alone does not determine recipients. Reminders stop when the request or step closes, another approver decides it, or the assignment is no longer active.
Use the notification center
Open Notifications from the header bell. Active includes unarchived notices, read or unread. Mentions shows unarchived comment mentions. Archived contains notices you archived and alerts closed after their work ended.
Open a notice to mark it read and see Why you received this. Use its action when available. Archive marks it read and removes it from your active views; Restore returns a manually archived notice. Notices closed after their work ended cannot be restored.
Reading or archiving does not complete a request or change a record. Activity history records business changes separately. Each person’s notification inbox is private to that membership; an administrator cannot open someone else’s inbox.
Mentions and protected information
Mention an active member who can view the record when you need their attention. Mentioning yourself does not create a notice. Mentions, replies, and comment activity do not send email.
Request discussions and files remain protected. Notifications do not copy discussion text or protected request facts into email. If access changes, details and direct actions can disappear, though a safe outcome notice may remain for someone who participated.
When authorized, use Redact comment for sensitive or inappropriate text and record the requested reason. Redaction hides the text while retaining evidence of the comment and redaction; it does not revise an approval decision.
If a message did not arrive
- Check the work directly: My approvals, Profile > Invitations, the related record, or Billing. You can continue there while investigating email.
- Confirm your email is correct and verified under Profile > Email. A replacement address must finish verification.
- Check email preferences in the correct organization. For a daily summary, check its time and whether new or due work existed.
- Confirm the approval step is ready and assigned to you, or that the invitation is still active.
- Check spam, quarantine, and mail filtering. Ask your email administrator about blocked FTE Tree messages.
An email problem notice offers Review email settings. It can identify a missing, unverified, rejected, or disallowed address. Allowed domains are exact: company.com and mail.company.com are different. Someone with the Manage organization settings permission can review the email policy. The policy does not remove membership or choose a sign-in method.
For invitations, ask an access administrator to check the address, dates, roles, and status, then send a reminder if appropriate. For sign-in codes, use Sign-in troubleshooting.

If these checks do not explain missing delivery, contact support with the organization, recipient email, message type, related record, expected time and time zone, and whether the work appears in FTE Tree. Say whether other FTE Tree messages arrive. Do not include passwords or secret codes.
