training, getting started, Evergreen, Avery Reed, take your first look aroundUpdated October 27, 2026
This short tour shows how a completed staffing decision fits together. Use a completed Patient Services Coordinator in Outpatient Services, staffed by Avery Reed on Weekdays. You will inspect prepared positions and employees without changing them. You can generate reports in your own account when you reach the report checks.
Before you begin
Sign in with your own account and select your completed practice organization. If you need access, ask your organization administrator. Find the coordinator and Avery by name, then note their record numbers. You need position access; employee names, financial information, and report downloads require their own permissions. Skip unavailable financial sections in Position Control or with position-only access.
If you have been given a demo account, use its exact email address, such as demo-ceo@ftetree.com, and request an email sign-in code. Select Evergreen after signing in. Use the account assigned to you for the demonstration; its access determines which parts of this tour you can complete.
A hands-on practice organization has prepared choices but no position or Avery yet. Start the guided tutorial there. An empty organization needs Set up practice data. Do not import files into a prepared organization or create duplicates in a completed example.
1. Identify the staffing need
Select the intended organization and January 1, 2027. Outpatient Services needed one full-time coordinator for appointments and patient enquiries. Open Workforce > Position control, clear earlier filters, and find the coordinator by its name or recorded number. The job, employee, and assignment describe separate parts of that decision.
2. Inspect the prepared position
This chapter was completed before your viewing session. Inspect the position’s Details: Patient Services Coordinator, Outpatient Services, 1 FTE, and Weekdays. The completed position is approved; saving a draft alone would not establish that outcome. Use the hands-on course to practice creating a draft yourself.
3. Inspect the approval outcome
If the coordinator has an associated request, open it and inspect its proposal, effective date, and completed outcome. Identify whether it used a different eligible reviewer or No independent review configured. The latter completed without another person’s decision. Open the Activity history clock immediately to the right of the page actions to find the recorded outcome. Inspection does not mean you submitted or approved it yourself.
Some completed examples were prepared with the position already approved and have no associated request. In that case, inspect the position’s Activity history and continue to chapter 4. Use the guided tutorial when you want to create and submit a request yourself.
4. Check Avery and staffing
Find the position’s assignments for January 1. Expect 1 approved FTE, 1 assigned FTE, and 0 vacant FTE. FTE means full-time equivalent. The approved job is filled by an assignment; it is not an extra job added to the assigned amount.
If your access permits employee details, confirm Avery Reed fills it. Position-only access can show staffing without Avery’s identity. Use the position number and staffing measures for that viewing exercise.
5. Compare budget and employee cost
Workforce Budgeting with financial access only. Position Control continues to chapter 6.
Open the coordinator’s January budget and Avery’s authorized compensation result. Inspect $70,000 annual budget plus $14,000 benefits = $84,000 and $60,000 salary plus $12,000 benefits = $72,000. There should be one 20% Course benefits estimate in each calculation, leaving $12,000 of assigned budget. These are annualized costs, not confirmation of payroll paid.
Keep the filters on Outpatient Services and the coordinator. Surrounding full-demo records are different examples.
6. Inspect the saved reports
Saved reports are personal to the account that ran them. Open your own Position Control Snapshot for January 1, 2027, filtered to Outpatient Services and the coordinator. If you do not have one, follow Run and check reports to generate it. Check the coordinator’s 1 approved / 1 assigned / 0 vacant FTE row. With financial permission, inspect or generate January Labor Budget Snapshot and Actual Compensation Snapshot reports showing $84,000 and $72,000. Read each report’s date, filters, reference, and completion status.
You can also inspect an exported report that your organization has authorized you to view. Another person’s private saved-report link will not open their report in your account. A report generated now is a new result; it does not establish what was saved before a source change.
7. Follow dates and a later change
Compare December 31, 2026 with January 1, 2027. The tutorial example begins on January 1. Some completed examples have earlier position history, so read the actual starting date. Compare effective dates with the entry time shown in Activity history.
In Workforce Budgeting, inspect Avery on June 30 and July 1, 2027. June retains $60,000 salary and $72,000cost; July has $63,000 salary and $75,600 cost. Budget remains $84,000, leaving $8,400. Staffing remains 1 / 1 / 0 FTE. The July entry already exists; do not enter it again.
Open or generate your July reports, then reopen the January reports you saved in chapter 6 and compare their dates and amounts. Both reflect the information available when you generated them. To practice saving January before entering the July change, complete the budget and pay walkthrough after staffing a fresh practice example.
8. Explain the outcome
Return to Home and find the same position again. Explain what was authorized, who fills it when you can view that information, when it begins, and which report retains the result. With financial access, explain the budget/pay difference and the July change.
This completes the viewing tour. To perform the tasks yourself, start the guided tutorial in a fresh practice organization. If you already completed that tutorial, choose a task from More walkthroughs when you need more practice.
