Understand actual compensation
Understand what actual compensation includes and find the right guide for employee pay, adjustments, missing setup, or reports.

In this article
Actual compensation is included in Workforce Planning.
Actual compensation shows the protected, annualized pay associated with active assignments on a selected date. FTE Tree combines dated employee pay, approved assignment information, annual hours when needed, and applicable pay adjustments to calculate the result.
Use Employee pay to maintain pay entries, Applied adjustments to apply reusable pay policies, and Issues to resolve missing inputs. Use the Actual Compensation Snapshot report for a dated position-level result. Position structure and assignment FTE remain in position control, while planned position rates remain in labor budget.
Before you begin
You need the View actual compensation permission for every included department to review protected pay and results. Changing pay or applied adjustments requires the Manage actual compensation permission. Broad adjustment scopes require All departments. Downloads additionally require the Export reports permission.
Keep compensation values in their dedicated pages and approved files. A person with export access but no compensation access cannot download protected compensation. See Roles and permissions.
Understand what each area owns
Use the area that owns the business fact. A difference between areas is not automatically an error.
| Information | Where to maintain it | Why |
|---|---|---|
| Employee identity and employment information | Employee records | Identifies the person without exposing compensation to structural users |
| Position, department, job code, schedule, and approved FTE | Position control | Defines approved organizational structure and capacity |
| Employee-to-position relationship, assignment FTE, and assignment dates | Position control assignments | Determines where and how much of an employee is assigned |
| Employee-level or assignment-specific pay | Employee pay | Supplies the protected starting amount for each active assignment |
| Premium, stipend, reduction, or other reusable compensation policy | Applied adjustments | Changes a calculated result without rewriting the underlying pay entry |
| Annual hours used to annualize hourly pay | Compensation setup | Supplies the dated organization-wide conversion value |
| Planned rate for approved position capacity | Labor budget | Values the plan rather than an employee’s actual pay |
| Point-in-time actual compensation result | Actual Compensation Snapshot | Preserves the selected date and authorized department scope for review or export |
One approved change can require work in more than one area. If an employee moves from 0.7500 FTE to 1.0000 FTE and receives a new salary on the same date, position control owns the assignment FTE change and Employee pay owns the new salary. If the organization also changes the planned rate for the position, labor budget owns that third change.
Understand the complete calculation
FTE Tree calculates each eligible active assignment on the selected date and combines the assignment amounts for each position. An assignment-specific pay entry takes priority over the employee-level entry for that assignment.
| Pay type | Starting annual result |
|---|---|
| Hourly rate | Hourly rate × annual hours per FTE × assignment FTE |
| Annual salary (scaled by FTE) | Full-time annual salary × assignment FTE |
| Contracted annual pay (not scaled by FTE) | Complete annual amount for that assignment, without multiplying by FTE again |
Dated adjustments can then change calculated FTE, pay rate, or annual cost. They do not rewrite the pay entry or approved assignment. For example, a $72,000 annual salary at 0.8000 FTE starts at $57,600 before adjustments.
Use Manage employee pay for choosing pay type and employee or assignment scope. Use Apply actual compensation adjustments for policies, coverage, overlap, and complete worked examples.
What happens when compensation data is missing
If any active assignment on a position lacks applicable pay or annual hours required for hourly pay, FTE Tree withholds the whole position amount. It does not add the ready assignments and present that partial amount as complete.
The calculation and Actual Compensation Snapshot can still finish. The position receives the specific reason, such as Needs compensation setup, Needs annual hours setup, Needs employee setup, or Needs adjustment setup; its annual compensation cell is blank; and Issues identifies the affected assignment and date. A position with no active assignments has a valid zero assignment total; that is different from a staffed position with missing inputs.
A deliberate zero pay entry is also a known value, not missing data. Confirm that it is intentional before correcting anything.
Missing position FTE, department, lifecycle, employee availability, or employee status also leaves the affected amount blank rather than treating it as zero. Run the snapshot only after the compensation result is current. If the update failed, use Retry when the page offers it. Missing or conflicting pay-adjustment setup appears in Issues for the affected position instead of preventing every position from updating.
Contributor details show the saved assignment amounts for the selected result. A position with more than 100 assignments has additional pages; the position total covers all assignments. An older saved result may retain its position total without an assignment breakdown.
Understand Issues
Open Issues to find the employee, assignment, issue, and date that require a correction. Use the offered action to open the matching pay entry, employee setup, annual hours, or adjustment.
Items move to History automatically when a completed calculation no longer finds the problem. They are not a checklist you manually close. An item disappearing does not prove the amount is correct: verify the resulting pay and FTE as well. See Resolve actual compensation items that need attention.
Understand reports and detailed review
The Actual Compensation Snapshot is a dated, position-level report. Each row includes the position, position identifier, department, assigned FTE, compensation status, and annualized actual compensation. A blank amount with Needs compensation setup is unknown, not zero.
The snapshot does not replace the employee pay and adjustment pages. Use Employee pay to determine which protected pay entry should apply and Applied adjustments to review rule, scope, dates, and behavior. Run a new snapshot after a correction is ready because an already completed report does not rewrite itself.
Do not add point-in-time annualized values from different dates. A snapshot answers what annualized compensation applies on one selected date; it is not a payroll-period payment report or a year-to-date earnings report.
