Use this lesson when you are preparing a separate practice organization for a team. The populated Evergreen Health demonstration is for viewing. Do not add practice records to it, do not assume it can be copied or reset, and do not create duplicate named records to work around a preparation mismatch.

Before you begin

You need organization-administrator access and an empty practice organization, or approval to create one. Agree in advance whether the lesson uses position control only or Workforce Planning. If you are not the administrator, use the prepared organization your instructor names.

The practice organization should use Evergreen Health only when that name is not already in use for the learner’s practice work. Record the organization name and confirm it in the page header before every setup task.

Prepare the organization

  1. Open Create an organization and start a trial if an empty practice organization has not been prepared. Otherwise, open the named practice organization.
  2. Choose Position Control for position, staffing, request, and access lessons. Choose Workforce Planning only when the practice also includes budgets, employee pay, workforce plans, or financial classifications.
  3. Review the displayed position quantity and trial information. Do not start a paid subscription or enter payment details for this lesson.
  4. Open Settings, then Organization. Confirm the organization name, time zone, and Historical baseline date.
  5. Set the historical baseline date no later than January 1, 2027, so the later Patient Services Coordinator practice position can begin on that date.
  6. Review FTE decimal display. FTE means full-time equivalent. Use a display that makes 1.0 and 0.5 easy for learners to read.
  7. Add a short organization support contact that tells learners who to ask about access or setup. Do not enter passwords, recovery codes, or private contact details.
  8. Open the setup checklist and note the remaining areas: departments, job codes, work schedules, access, and approvals.

Check the preparation

The empty practice organization is ready when it has the correct name, time zone, baseline date, and edition, and it contains no duplicate practice positions or people. Check that you can identify your practice organization in the header and explain why the completed demonstration is for viewing only.

What changes if only Position Control is enabled? Position and staffing work remains available. Labor budgets, employee pay, workforce plans, and financial reports are not included.
