Set up approvals and required documents
Set up a few approval steps, assign eligible reviewers, and test the information required for a position request.

Set up a few clear approval steps before learners submit a position request. Use the empty practice organization and separate test users. The reviewer must be different from both the requester and anyone who prepared the changes being reviewed.
Before you begin
You need Manage approval setup, an Outpatient Services department, and test users with the necessary department access. Decide what a requester must explain and what a reviewer needs to decide.
Build and test the approval steps
- Open Settings, then Approvals. Select Use configured review steps for this exercise. Review the starter approver assignments and replace them with the intended practice reviewers.
- Open Position approval workflow and rename the starter step Outpatient Services review. Use a responsibility name, not a person’s name.
- Make this a department review and assign an eligible reviewer for Outpatient Services. Confirm the reviewer did not prepare the selected changes, is not the requester, and can view the relevant department on the requested dates.
- Choose the request Reason and decide whether Justification and a Decision rationale are required.
- Create a requester file only if the practice needs one. For example, name it Position justification and explain what to upload. Use a blank practice template only; do not upload employee pay or private information.
- Open New position under Request requirements, select the shared first step under Always review through, and add the file under Requester files. Decide whether it is required and review its step threshold.
- Submit one small practice New position request for the designated Patient Services Coordinator record. Read the preview before submitting.
- Have the assigned reviewer open the ready step, review the required information, and make the agreed practice decision.
- Change one setup item, such as the step name or a later file requirement. Open the already submitted request and confirm it retains the approval steps and requirements saved at submission.
Also set an FTE field requirement to a later shared step and compare a title-only change with an FTE change. Set the position status field requirement and preview a suspension with a return. It should remain one request, with each shared step included once for matching department responsibilities.
Check your result
The new request reaches the intended reviewer with the required information. If a reviewer is unavailable, the learner should update the current approver setup and use the administrative request guidance for already submitted work.
Ask: Why does an already submitted request keep its original approval steps? It preserves the requirements and reviewers that applied when the requester submitted it.

Practice a transfer with central review
On separate practice records, add a central review before department review. Propose Operations to Sales on November 1 and Sales to Support on January 1 for one position. Confirm Central reviews once, followed by Operations, Sales, and Support. Sales considers both its arrival and departure.
Assign the same eligible reviewer to Sales and Support. Confirm that person can explicitly approve both departmental responsibilities in the same step, while another reviewer assigned only to Sales cannot approve Support. A separate central decision remains separate even when the same person is eligible for it.
