Use this branch after the initial workforce setup. These exercises change settings and separate practice records, so other learners should finish using those records first.
Before you begin
The setup administrator needs Manage custom fields and Manage position setup. The requester needs Manage positions and Submit position requests for the practice department; an eligible reviewer approves the field change. The person changing the assignment needs Manage employees for both the employee’s department and every affected position department. One person may perform the setup and requester tasks when their access allows it, but the reviewer must be independent.
Before this exercise, prepare a separate approved 1.0 FTE practice position using Weekdays, with one active 1.0 FTE assignment from January 1, 2027. Follow Create your first position, Submit and review a position, and Add an employee and assignment using Practice schedule coordinator and Jordan Practice as separate names if these records are missing. Record both numbers and confirm that an approval step is available for position fields. Use the reserved field name Practice work arrangement and schedule Practice evenings.
Create and use a controlled field
- In Settings, open Custom fields for positions and choose Create custom field.
- Enter Practice work arrangement as Field label, with help text Choose the usual work location for this position.
- Select Single select for Field type. For New option set name, enter Practice arrangements. In Initial option values, enter On-site, Hybrid, and Remote, one per line.
- Leave it optional for this first exercise, and choose the agreed Review through step. Optional position fields still need an approval step.
- Save. Open the separate practice position, propose Hybrid, and follow its normal request and approval process.
- Reopen the approved position on the change date and confirm Hybrid appears in the new field. Review the earlier date to distinguish the original record.
- Open the field’s display settings and field-order list. Change its position in the form, save, and reopen the form to verify the order. Restore the agreed order afterward.
Open Standard fields and inspect a standard field’s label and guidance separately. A label setting changes what users read; it does not edit a particular position’s stored FTE or title. Do not create a duplicate custom field for information already held by a standard field.
Maintain choices and statuses
- Open the Practice arrangements option set. Add Practice temporary location, move it in the list, and verify that order on a fresh record form.
- Make that unused option unavailable. Confirm it no longer appears for new selection. Use Make available to restore it and check again.
- Make the practice custom field unavailable, then available, using its offered actions. Confirm that its earlier approved value remains in history and that new forms follow its current availability.
- In employee Status values, review Counts as active employee on a separate unused practice status. Create a status named Practice status, change its order, make it unavailable, and restore availability. Confirm the available list changes without modifying any existing employee.
- In Assignment purposes, create an unused practice purpose, choose its order, and test availability on an assignment form. Restore the previous default if you changed it.
Do not rename a used choice to a different meaning. Whether an employee status counts as active affects staffing and compensation calculations; assignment purpose does not override assignment rules or calculate FTE. The position statuses are always Active, Suspended, and Eliminated; organizations cannot add their own position statuses.
Create and change a schedule
- Open Settings > Workforce setup > Shift classifications. Create the reserved Practice evening classification with an unused import code such as
PRACTICE-EVENING. - Open Workforce > Work schedules > Create work schedule. Enter Practice evenings, a description, January 1, 2027, and Practice evening as its classification.
- Open the new schedule’s Details. Use Show > Selected date and Effective date to review January 1.
- Choose Add change and record a clearer description from July 1. Select Save change. Compare June 30 and July 1, then use All dates to see both entries.
- Use Correct entry on the later description to correct a harmless spelling error. Review the shared Activity history clock to distinguish the correction from the later business change.
- Review Availability and Used by on the viewed date for both a current and future date before deciding when a schedule can be retired.
Renaming a classification for clearer wording does not change its import code. Keep the code stable. An unavailable shift classification or schedule should not be selected for new work, while earlier use stays understandable.
Give an assignment a temporary exception
For the optional Workforce Budgeting check, prepare the financial example before changing the shift. An authorized compensation user follows Apply compensation adjustments to apply a separate 10% premium only to Practice evenings from July 1, 2027. Use a practice employee with a full-time $60,000 yearly salary and no other adjustments. Confirm the premium is available for the July practice period. Position Control learners skip this preparation and the cost check.
- Open the separate practice assignment whose position uses Weekdays. Choose Shift, or Review shift and adjustments beside the shift.
- Select Change shift, enter July 1, 2027, and choose Practice evenings in Assignment shift.
- Select Review changes. Confirm the current and proposed schedules. In Workforce Budgeting, also inspect Compensation adjustments and Matched by to identify the prepared premium. Cancel once and verify that the saved schedule is unchanged.
- Repeat the change, review it, and save with any required explanation.
- Compare June 30 and July 1. The position should still use Weekdays; only this assignment changes to Practice evenings. Its FTE and assignment end date should be unchanged.
- Choose Return to position shift, enter August 1, 2027, review, and save. Check that the assignment follows Weekdays again from August 1.
In Workforce Budgeting, review the calculated cost on July 1 and August 1 after saving: the prepared full-time $60,000 salary with only that premium has an annual amount of $66,000 during July and $60,000 from August 1, when the premium no longer matches. General benefits, other rules, or a different salary would change these expected amounts.
Open the schedule’s Adjustments tab to review Actual compensation and Labor budget separately. Apply adjustment to this schedule starts a financial application with that schedule selected; the classification action covers matching schedules in the classification. Creating a schedule alone does not apply either adjustment.
Finish and repeat
Restore the practice field order, defaults, and personal list filters. Keep dated entries and completed requests as the practice record. Leave the assignment following the position again. Explain why choosing a schedule did not change FTE, and why a premium required a separately applied adjustment. For another rehearsal, use a new practice assignment or a new agreed period.
