Use a conversation to keep a question with the work it concerns. This exercise asks whether the coordinator’s staffing has been checked for January 1, 2027. It changes messages only; the position and any approval request keep their own status.

Before you begin

Use the prepared Patient Services Coordinator position and two separate practice accounts. Both people need access to that position and Participate in conversations for its department. A moderator joins only for the final moderation exercise. Agree that the messages are practice, and use fictional information. For email checks, each participant controls their own practice inbox.

Start a topic and reply

  1. Open the position, confirm its number and department, and select Conversations.
  2. Choose Start conversation. Enter Practice: please check the January 1, 2027 staffing for this position. in Message and post it.
  3. As the second participant, open the same position and select Reply on that opening message. Enter Checked: Avery fills 1.0 FTE on January 1, 2027. and post the reply.
  4. Confirm that the reply appears beneath the opening message in the same topic. Start a second conversation only for a separate question.
  5. Select Open, All, and Resolved in turn, then return to Open. The new discussion should be in Open and All.

Open the position’s staffing details to confirm the claim in the reply. Posting the claim does not change an assignment. If a long discussion offers Show more conversations or Show more replies, use it to read the next entries while keeping the same topic.

Correct a message and review its history

  1. On your own opening message, choose Edit message from its Actions menu.
  2. Add Please include the selected date in your reply. and save.
  3. Open Message history. Check that the earlier text and the correction can be distinguished, then close the history panel.
  4. Reopen the editor, type an extra sentence, and choose Cancel. Confirm that the unsaved sentence did not appear.
  5. As the second participant, confirm that you cannot edit the first participant’s message as your own.

If someone changed the message while you were editing, read the current version alongside your preserved draft before trying again. Resolve that difference before posting another correction.

Try the three notification choices

Use the opening message’s Actions > Notifications choices. The filled circle identifies the current choice. Have the other participant post one short practice reply after each selection.

Your choice Practice message Expected notice
Follow conversation A reply without a mention A conversation notice, while you still have access
Mentions only A reply that directly mentions your account A mention notice
Mute conversation A reply that directly mentions your account No notice for this conversation

To mention the other participant, use the member choices offered while writing the message and select that person’s account. You cannot mention yourself. Confirm the intended recipient before posting. An earlier notice remains in the inbox after muting, so compare message times rather than treating an old notice as a new one.

Open the header bell and follow the new notice back to the topic. If you also want to check email, turn on Profile > Notifications > Conversations and mentions for this practice organization and confirm the organization’s email policy permits the practice address. Email preference and conversation follow settings both matter. Restore your preferred settings afterward.

Resolve, find, and reopen the topic

  1. As its creator, choose Resolve conversation from the opening message’s Actions menu.
  2. Check that it leaves Open and appears under Resolved, with the resolution person and time.
  3. Open it from Resolved and choose Reopen conversation, or use Reopen and reply when you need to add a follow-up.
  4. Confirm that the opening message and earlier replies return together under Open.
  5. Resolve the finished practice topic again.

Repeat the start-and-reply steps on a separate active approval request, using the requester’s and eligible reviewer’s accounts. Check the request’s decision area before and after posting: no approval, rejection, or return for changes should have occurred. Closed requests and resolved conversations restrict editing; follow the available actions rather than expecting every control to remain available.

Practice moderation separately

With an authorized moderator, post a separate message containing only Practice text to remove. Choose Redact message, supply the required reason when moderating another person’s message, and confirm. Check that the text is removed from the message and its saved versions while author, time, removal evidence, and replies remain. Redaction is not an ordinary spelling correction and cannot restore the removed text.

Finish and repeat

Keep the resolved topics as the record of the practice. Restore personal notification choices. Explain which person may edit, resolve, reopen, or moderate each topic, and demonstrate that those actions did not change approved staffing or an approval decision. Repeat later with a new clearly named topic instead of reopening a discussion that another team is using.
