Troubleshooting
Import will not validate or complete
Resolve template, heading, ID, date, number, access, out-of-date preview, and partially completed import problems.
Updated August 7, 2026
Overview
First determine whether the problem happened before confirmation, during confirmation, or after the import started making changes. A validation failure changes no rows. A confirmed import that stops later can have completed changes that must be reviewed before another file is uploaded.
File will not upload
Check:
- The file is CSV.
- It is within the displayed size and row limits.
- The file is not empty.
- It opens as plain rows and columns.
- You selected the correct import type and mode.
- The browser completed the upload.
Download a new template and move only the intended values into it if the file format is uncertain.
Heading issues
Use the exact headings from the current template.
Look for:
- Renamed headings.
- Blank headings.
- Duplicate headings.
- Extra spaces.
- Old organization labels.
- Hidden or merged spreadsheet columns.
Do not add explanatory header rows above the template headings.
Record and identifier issues
In Create mode, referenced records must be new where required. In Update mode, identifying values must match existing records.
Check:
- Position and employee numbers.
- Job codes and departments.
- Enabled external IDs.
- Higher-level record identifiers.
- Assignment references.
- Duplicate identifiers within the file.
Preserve leading zeros by treating identifiers as text in the spreadsheet.
Date and hierarchy issues
- Use valid dates in the template’s expected form.
- Use the historical baseline date for starting values intended to apply throughout earlier reporting.
- Ensure referenced higher-level records exist on the needed date.
- Do not place a record beneath itself.
- Do not create a circular hierarchy.
- Import dependent records in the recommended order.
Numeric and funding issues
Use plain numbers without currency text or thousands separators.
- FTE and decimal rates allow up to four decimal places where specified.
- Money, hours, displayed percentages, and funding percentages allow up to two.
- Funding must total exactly
100.00%. - Pay rate adjustment rows use either amount or rate, not both.
- Required position base pay rate cannot be blank.
Access issue
Employee, Position, and assignment imports require organization-wide management access for the relevant records. A current-values download or uploaded file that includes a Position Base pay rate column or any custom Currency column requires View sensitive workforce data for All departments. Employee imports do not have a standard pay column.
Ask someone who can manage user access to review your current permissions and department access. If the protected column is not part of the work, download a fresh template, omit that column, and upload only the information you are authorized to manage. If the work includes the protected column, ask for the required View sensitive workforce data instead.
Validation passed but confirmation is blocked
Another change can make the preview out of date after validation. Before making changes, FTE Tree rechecks the latest information, available choices, your access, and the organization’s available paid positions.
Return to the preview and look for:
- Changed or newly existing identifiers.
- Unavailable departments, job codes, or choices.
- Removed access.
- Available paid positions.
- Warnings that Position imports apply approved values without an approval request.
Upload a corrected file when needed.
Import is applying for longer than expected
Refresh the import status and review activity. Avoid confirming again or uploading the same file.
Use Stop only when the page offers it and you understand that the current group can finish first.
Import is partially completed
- Download or review row results.
- Identify completed changes.
- Open affected records.
- Decide whether to keep or reverse the completed work.
- Prepare a follow-up file only after that decision.
See Recover or reverse an import.
When to contact Support
Include the import number, type, mode, status, exact issue text, affected row numbers, approximate time, and whether any rows completed. Do not send the source file by regular email unless support provides an approved secure method.
