A position is an approved job your organization intends to staff. You will first create a draft. Approval comes in the next lesson; saving the draft alone does not approve the job.

This position-creation lesson applies to Position Control and Workforce Planning. It needs position setup and approval access, without requiring a budget rate or employee pay.

Switch to your prepared practice organization

The Quick start demonstration already contains Avery and a finished position. For this lesson, your instructor must identify a separate practice organization prepared for you using the same Evergreen Health example. Check its name before entering anything.

It should contain Outpatient Services, the Patient Services Coordinator job code, the required schedule and other choices, but no Avery employee or coordinator position yet. It needs a starting date that permits January 1, 2027, enough subscription capacity, and an arranged reviewer. You need permission to manage positions in Outpatient Services.

Search before creating. If the position already exists, stop and ask which record or organization you should use. Do not create a duplicate to get past a preparation mismatch.

Enter the position

  1. Open Workforce > Position control and choose Create position.
  2. Choose Outpatient Services and Patient Services Coordinator.
  3. Enter 1 FTE and January 1, 2027 as the effective date.
  4. Select the work schedule your instructor prepared. Complete other required fields.
  5. If a Reports to position is required, choose the one in the preparation notes. Do not invent a manager position just to complete the form.
  6. Review and save the draft. Write down its FTE Tree position number.

If a required choice is missing, check its availability on January 1 and your access to the department. Use Cannot create a position to work through the specific message.

Preview the draft

Open the draft and check each value. Correct an entered mistake before submitting. The draft should describe one full-time job in Outpatient Services, starting January 1.

The position tells FTE Tree what job is approved. Workforce Planning learners enter its budget and employee pay later in their separate financial areas. Position control learners can complete the approval and staffing workflow without these amounts.

Try copying and discarding a draft

Use the instructor’s separate staffing practice organization for this additional exercise. Open its approved example, choose Copy as new position, and inspect the copied details. Confirm the new draft has its own position number. Check the department, dates, schedule, and other choices; copying does not prove they are right for a new job.

Do not submit this spare draft. Choose its discard action, read which unsubmitted work will be removed, and confirm. The original approved position remains. Return to your main practice organization and its saved draft.

Check your understanding

You should have one main draft ready for submission, no assigned employee, and no approved staffing increase yet. Explain why a copied position needs its own approval.
