Submit and review a position request
Send your draft for approval, follow each review step, and confirm the approved full-time position on its starting date.

A position request gives reviewers the proposed job, its dates, and the explanation they need to decide. You and an arranged reviewer will take different parts in this exercise.
The same request and approval workflow applies in Position Control and Workforce Planning. A budget, salary, or workforce plan is not a prerequisite for this position approval.

Before you begin
Use the draft from Create a full-time position in your main practice organization. Have the position number, the required reason and supporting files, and eligible reviewers ready. Your instructor should have configured the approval steps before you begin.
Keep the reviewer separate from the requester and everyone who prepared the selected changes. The reviewer needs access to the affected department on the requested date. Every request concerns one position and can include its related actions and effective dates.
Submit as the requester
- Open the draft. Check Patient Services Coordinator, Outpatient Services, 1 FTE, and January 1, 2027.
- Start a New position request.
- Choose the prepared Reason. In Justification, explain that this is the approved practice example for a new full-time coordinator.
- Add any required supporting file. Use the instructor’s fictional business case.
- Choose Review request. Check the proposed details, dates, required files, and approval steps.
- Choose Request approval, then write down the request number. Wait for the submitted files to pass their checks before the request is ready for approval.
Do not put private employee pay or medical information in the request or attachments. Pay is entered separately with its own access controls.
Review as the assigned reviewer
- The reviewer signs in with their own account and opens the request from Needs my review or Requests > My approvals > Ready now.
- Check which approval step is ready. Read the full proposal and the supporting information.
- Confirm this request creates one full-time coordinator position, starting January 1.
- If clarification is needed, use the request’s conversation before deciding. For this correct example, choose Approve and enter the required explanation.
- Continue through the remaining assigned reviewers in order.
One eligible reviewer completes each approval step. A later step becomes ready after the preceding step is approved. An administrator’s access does not make them the assigned reviewer for every step.
Follow progress as the requester
Reopen the request and inspect its status, approval steps, conversation, and files. Approval and the change being recorded can be separate stages. Read any progress message and wait for the change to finish before checking the position.
If the example needs a correction, use Correct a request or help it move forward. Do not assume submitted details can be edited in place.
Check the approved position
- Open the resulting position and select January 1, 2027.
- Confirm the position is approved, its position status is Active, and it has 1 approved FTE with no employee assignment.
- Confirm 1 vacant FTE: 1 approved − 0 assigned = 1 vacant.
- Open Activity history and find the request and recorded outcome.
- Compare the day before the position begins. The new January position should not add staffing capacity to December 31.
The request should show its completed outcome and reviewer decisions. A position can be approved while it is vacant and has no budget or salary entered.
