This first look works in both position control and Workforce Planning. You can complete it without creating a position or viewing anyone’s salary. You will find one approved job and see how it is staffed.
Before you begin
Accept your invitation and sign in. Your instructor or administrator should give you the name of a prepared demonstration organization and the position number for Patient Services Coordinator. The demonstration uses Evergreen Health, with Avery Reed working in Outpatient Services.
If your organization is empty, ask the instructor to prepare this example. If you are setting up the organization yourself, start with Prepare an organization for your team, then return here. Do not create a duplicate position to follow this viewing exercise.
Find the position
- Choose the demonstration organization. Check its name before continuing.
- Open Workforce > Position control.
- Search for Patient Services Coordinator, or use the position number your instructor provided.
- Open the position and select January 1, 2027 as the date you want to review.
- Find its department, approved FTE, and assignments.
FTE means full-time equivalent. A position with 1 FTE is one full-time job. The position is the approved job; Avery is the person who fills it.
Read the staffing numbers

The calculation is 1 active FTE − 1 assigned FTE = 0 vacant FTE. This position is Active, so its active FTE equals its approved FTE. You do not add the position and assigned amounts; they describe the same job from two different perspectives.
If you cannot see Avery’s name, you may have access to positions without access to employee details. Ask your instructor to explain your access. The position and its staffing numbers may still be visible.
Check the date and history
- Select December 31, 2026, the day before this example begins. Do not expect the January staffing to apply yet.
- Return to January 1, 2027 and confirm the full-time assignment.
- Open Activity history. Find who recorded a change and when it was recorded.
- Open the page’s Help guidance. Follow the full article link when you need more explanation.
The date a person entered information can differ from the date that information starts to apply. Always check the date before comparing two results.
Finish this first look
Return to Home and find the same position again without following the steps above. Explain which number describes the approved job, which describes the work Avery fills, and why there is no vacancy.
