Openings
Introduction
Openings in FTE Tree are created from approved approval requests when the approval workflow is configured to create an opening. When a position change or replacement request is approved, FTE Tree can create an opening to track the approved staffing follow-up. Openings show what was approved, including the approved FTE and cost for the position in the request.
How openings are created
Openings are system-derived from fully approved position requests. You do not create openings manually; they are a direct output of the approval workflow when the workflow is configured to create an opening.
Opening settings
Organization administrators can configure how opening numbers and status values are displayed:

Opening label prefix: A prefix string attached to opening numbers as they are displayed throughout the application. Defaults to "OP-". The hyphen is part of the prefix, so you can remove it by changing the prefix to "OP" or leave the prefix blank.

Opening label padding digits: Pads the opening number with leading zeros. For example, with the default prefix and a padding of 4, opening #7 displays as "OP-0007". Set to 0 for no padding. If the number of openings exceeds your setting, this value will be automatically updated unless set to 0.

Opening status values: Opening status tracks where the opening stands. The default values are Open, On hold, Filled, and Canceled. Open and On hold count as open openings by default; Filled and Canceled do not. Administrators can rename, add, deactivate, reorder, choose the default, and set whether each value counts as open.
Viewing openings
Openings can be viewed from several locations:
- Openings list: A complete list of all openings in your organization, showing the opening number, associated position, status, owner, target start date, filled date, and external posting reference. Use the search and filters to find openings by label, status, owner, target date, external posting reference, or field values.
- Position openings: When viewing a specific position, you can see all openings associated with that position.
- Opening detail: View the full details of a specific opening. The detail page is organized into tabs:
- Summary: View opening details including status, owner, target start date, filled date, external posting reference, linked position, linked approval request, creation date, and custom field values. Position and approval request links appear only when you have permission to view those records.
- Update: Change the opening status, owner, dates, external posting reference, hold or cancellation reason, and custom field values.
- Position changes: View the approved position field changes captured when the request was approved. The position name links to the position when you have permission to view it.
- Comments: Discuss the opening with other users.
- Activity history: Review the full history of changes to the opening.
Opening fields and custom fields
Openings support custom fields that capture additional information about the approved staffing action. Built-in fields include Status, Owner, Target start date, Filled date, External posting reference, and On-hold/cancelled reason. Organization administrators can create additional opening custom fields to suit their workflow. Custom fields can be updated from the opening update page.
Opening comments
Each opening detail page includes a Comments tab where your users can have conversations about the opening. Comments support threaded replies and user mentions with email and in-app notifications. Commenting on openings requires the View opening permission. For more details, see Messages and notifications.
Opening history
Each opening maintains a complete history of events, including when it was created, any status changes, field updates, and related audit events. This history provides a clear trail from the original approval request through to the opening record.
