Billing and subscriptions
Overview
FTE Tree uses subscription-based billing. This article covers how to view your plan and usage, manage billing through the secure billing portal, and understand how your subscription position count is enforced.

Plans and usage
To view your current plan and usage, open Settings > Billing > Plans and usage. The page can show:
- Product type: The subscribed product category, such as position count.
- Plan: The plan connected to that product.
- Status: The subscription status.
- Plan amount: The active plan quantity for that product.
- Usage: Current usage and percentage when usage is available.
- Period start and Period end: The current billing or entitlement period.
Users with Manage billing can open the secure billing portal from this page.
Subscription position count
Your subscription position count is the number of active approved positions included in your plan. A position counts against your subscription only when all of the following are true:
- The position has not been deactivated.
- The position's current approved status counts as an active position under your position status settings.
Proposed new positions do not count against your paid position total until they are approved. Positions with an inactive status and deactivated positions also do not count.
Your position count is checked when a new active position would first count against your plan, including submitting a new-position approval request, approving a new position through import, or reactivating a position. When a new-position approval request is submitted, a position count slot is held for that request. If the request is cancelled or denied, that slot is released.
An approval request that already reserved a position count slot can still finish if your subscription is later reduced or other changes put the organization over its paid position count. While the organization is at or over its paid position count, new actions that would add active positions are blocked until a position slot is available or the subscription is updated.
Inviting users is not limited by your position count. User access and subscription position count are managed separately.
Creating or changing a subscription
New organizations: When you create your first organization, the welcome page starts a trial and provisioning flow. You enter your organization name, historical baseline date, position quantity, and agreement to the Terms and Privacy Policy. No credit card is required to start a trial.
Existing organizations: Billing changes are handled through the secure billing portal. Users with Manage billing can open the billing portal from Plans and usage.
Once your subscription is active or trialing, your organization has access according to your plan.
Subscription status
Your subscription may be in one of the following states:
- Active: Your subscription is active and you have full access.
- Trialing: You are in a trial period with full access.
- Past due: A payment has failed. You retain access while payment is retried.
- Canceled: Your subscription has been canceled.
- Paused: Your subscription has been temporarily paused.
- Unpaid, Incomplete, Incomplete expired, or Other: The subscription is not in a normal active state. Open the billing portal or contact support if you need help.
Access to FTE Tree is available when your subscription is Active, Trialing, or Past Due.
Managing your subscription
Users with View billing can see subscription and billing status. Users with Manage billing can open the billing portal.
The billing portal allows you to:
- View your active subscription and billing history.
- Update your payment method.
- Download invoices.
- Update billing contact details.
- Change plans when available for your account.
- Cancel your subscription.
To cancel your subscription, access the billing portal from Plans and usage. Cancellation takes effect at the end of your active billing period.
Cancellation and data retention
After your subscription is cancelled, your organization's data is preserved for a 90-day grace period. During this time, you can resubscribe to restore full access with all data intact.
If no action is taken within the grace period, your data will be permanently deleted and personally identifiable information will be anonymized in accordance with our retention policy. For full details on what happens to your data, see Data retention and account deletion.
Billing support data
If you contact support about billing, authorized support team members may review billing contact details, subscription status, billing account references, and invoice-related details needed to troubleshoot the request. FTE Tree does not store or display raw payment card data. Payment method collection and card details are handled through the secure billing portal.
