Introduction

FTE Tree uses a subscription-based pricing model. This article covers how to view available plans, manage your subscription, and update your billing information.

Subscription plans

FTE Tree offers flexible pricing to accommodate organizations of all sizes. Plans are based on the number of billable positions managed in your organization, and may include tiered pricing where the per-unit cost decreases as the number of positions increases.

To view available plans, navigate to the Subscription Plans page in your organization settings. Each plan displays:

  • How pricing is calculated, such as per position or tiered pricing.
  • The billing interval (typically monthly).
  • Any included quantities or base fees.

Position capacity

Your subscription position count is the number of active Operating Budget positions included in your plan. A position counts against your subscription only when all of the following are true:

  • The position is in the Operating Budget, not only in a forecast scenario.
  • The position has not been deactivated.
  • The position's current approved status counts as an active position under your position status settings.

Scenario-only draft positions do not count against your paid position total while they remain in draft. Positions with an inactive status, deactivated positions, and scenario-only planning drafts also do not count.

Capacity is checked when a new active position would first count against your plan, including submitting a new-position approval request, approving a new position through import, or reactivating an Operating Budget position. When a new-position approval request is submitted, capacity is held for that request. If the request is cancelled or denied, that capacity is released.

An approval request that already reserved capacity can still finish if your subscription is later reduced or other changes put the organization over capacity. While the organization is at or over its paid position count, new capacity-consuming actions are blocked until capacity is available or the subscription is updated.

Inviting users is not limited by your position count. User access and position capacity are managed separately.

Creating a subscription

New organizations: When you create your first organization, plan selection is part of the welcome page. You choose your plan, name your organization, and start your free trial all in one step. No credit card is required to start a trial.

Existing organizations: To add or change a subscription, navigate to the Subscription Plans page in your organization settings, select the plan that fits your needs, and complete the checkout process through our secure payment provider.

Once your subscription is active, you will have full access to all features within FTE Tree.

Subscription status

Your subscription may be in one of the following states:

  • Active: Your subscription is active and you have full access.

  • Trialing: You are in a trial period with full access.

  • Past due: A payment has failed. You retain access while we retry the payment.

  • Cancelled: Your subscription has been cancelled.

  • Paused: Your subscription has been temporarily paused.

Access to FTE Tree is available when your subscription is Active, Trialing, or Past Due.

Managing your subscription

Users with View billing can see subscription and billing status. Users with Manage billing can update billing contact information, start subscription changes, and open the Customer Portal.

You can manage your subscription through the Customer Portal, accessible from the Plans and usage page when you have Manage billing. The Customer Portal allows you to:

  • View your active subscription and billing history.
  • Update your payment method.
  • Download invoices.
  • Cancel your subscription.

To cancel your subscription, access the Customer Portal from Plans and usage. Please note that cancellation will take effect at the end of your active billing period.

Cancellation and data retention

After your subscription is cancelled, your organization's data is preserved for a 90-Day grace period. During this time, you can resubscribe to restore full access with all data intact.

If no action is taken within the grace period, your data will be permanently deleted and personally identifiable information will be anonymized in accordance with our retention policy. For full details on what happens to your data, see Data retention and account deletion.

Billing settings

Organization administrators with Manage billing can manage billing information in the billing settings:

  • Account email: The email address used for billing correspondence and invoices.
  • Phone: A contact phone number for billing inquiries.
  • Billing address: Your organization's billing address, used on invoices.
  • Shipping address: An optional shipping or secondary contact address.

Billing support data

If you contact support about billing, authorized support staff may review billing contact metadata, subscription status, Stripe customer identifiers, and invoice-related details needed to troubleshoot the request. FTE Tree does not store or display raw payment card data. Payment method collection and card details are handled through Stripe-hosted checkout and customer portal pages.
