Introduction

Requisitions in FTE Tree are created as a result of an approved approval request. When a position change or replacement request is approved, a requisition is automatically generated to track the approved staffing action. Requisitions provide a record of what was approved, including the approved FTE and cost for each position in the request.

How Requisitions Are Created

Requisitions are automatically created when an approval request reaches the fully approved status. A separate requisition is created for each position in the request. You do not create requisitions manually; they are a direct output of the approval workflow.

Requisition Settings

Organization administrators can configure how requisition numbers and status values are displayed:

  • Requisition Label Prefix: A prefix string attached to requisition numbers as they are displayed throughout the application. Defaults to "REQ". For example, requisition #7 would display as "REQ007".

  • Requisition Label Padding Digits: Pads the requisition number with leading zeros. For example, with a padding of 3, requisition #7 displays as "007". Set to 0 for no padding. If the number of requisitions exceeds your setting, this value will be automatically updated unless set to 0.

  • Requisition Status Choices: Requisition status is managed as a required system requisition attribute. The default values are Open, On Hold, Filled, and Cancelled. Open and On Hold count as open requisitions by default; Filled and Cancelled do not. Administrators can rename, add, deactivate, reorder, choose the default, and set whether each value counts as open.

Viewing Requisitions

Requisitions can be viewed from several locations:

  • Requisition List: A complete list of all requisitions in your organization, showing the requisition number, associated positions, and status. Use the search field to find requisitions by label, status, or attribute values.
  • Position Requisitions: When viewing a specific position, you can see all requisitions associated with that position.
  • Requisition Detail: View the full details of a specific requisition. The detail page is organized into tabs:
  • Update: Change the requisition status.
  • Summary: View requisition details including the linked approval request, status, and creation date.
  • Attributes: View and manage custom requisition attributes such as hiring manager.
  • Position Attributes: View the approved attribute values for each position at the time the request was approved.
  • Comments: Discuss the requisition with other users.
  • Audit History: Review the full history of changes to the requisition.

Requisition Attributes

Requisitions support custom attributes that capture additional information about the approved staffing action. Built-in Status and Hiring Manager attributes are available for tracking the requisition state and responsible manager. Organization administrators can create additional requisition attribute types to suit their workflow. Custom attributes can be updated from the Attributes tab on the requisition detail page.

Requisition Comments

Each requisition detail page includes a Comments tab where your users can have conversations about the requisition. Comments support threaded replies and user mentions with email and in-app notifications. Commenting on requisitions requires the requisition update permission. Requisition History

Each requisition maintains a complete history of events, including when it was created, any status changes, and related audit events. This history provides a clear trail from the original approval request through to the requisition record.
