What is a Position Control?

Today's Reality

As the world of work evolves to fit modern priorities and needs on both the employer and employee side, the way we work also evolves. In the past, the career narrative was that an employee joined an organization early in life and stayed on board long enough to earn enough years of service to retire comfortably. Love it or hate it, employees would hold on to the same job for the long-term. Employees were tied to their specific jobs, and organizational leaders managed them based on this - they managed people based on their specific job titles. Key players such as HR and line managers operated in silos, often operating with little to no daily collaboration or communication.

Fast forward to today, where employees are no longer expected to stay in the same role, and employers manage based on ever-changing customer demands. Processes, efficiency, quality management, and other results-oriented considerations are key. Now, organizational leaders manage people with specific functions and goals in mind.

With every technological innovation and process improvement, the way we work changes. Roles that were once crucial become obsolete, as we discover ways to streamline processes by eliminating steps and being flexible. Employees develop specialties within broader job bands, while employers need to place people in functions (not just rigid jobs).

Employers need an effective position control tool that allows them to easily manage every aspect of their hiring decision workflows.

How does FTE Tree fit in today's reality?

HR and other departments are becoming increasingly aligned with each other, and leaders make data-driven decisions that support overall business strategies and missions. This requires real-time, scalable, accurate position management tools. These tools must be efficient and user-friendly for all stakeholders - HR, hiring managers, line managers, and others. Otherwise, these stakeholders may not adopt them.

How does FTE Tree help my organization?

Our FTE Tree position control tool meets all of these qualifications and helps you to gain control over your staffing needs. Before, HR maintained active employee rosters and traditional organizational charts to track people and their jobs. Now, FTE Tree tracks positions by job type and allows stakeholders to fully own their responsibilities in the position management process. FTE Tree easily captures all that you need to know about each position in your organization and allows you to use that information in your day-to-day data analysis and decision-making. It provides tight control processes for your entire organization to streamline processes and promote compliance regarding employee actions.

Here’s a quick glance at how it works:

  • Every position in your organization is assigned a unique position number, FTE, job code, and wage amount. Each employee is assigned to a position (rather than the position is attached to the employee)
  • When a person leaves the company or moves to a new role, that position becomes available to be re-staffed.
  • Positions are updated and modified to meet the organization's current and future needs.
  • Clear, consistent documentation of each action taken on each position is available for real-time decision-making and for reporting needs e.g. audits.

Using a common tool not only helps to minimize the training curve for new users, but it also promotes adoption across the board. If a tool is too specialized to suit HR’s perspective, difficult to learn, or cumbersome to use, disengaged stakeholders may try to create workarounds to avoid using it. Our Position Control Tool was created with that in mind.

Leaders from various areas such as HR, Finance, and Administration can effectively use FTE Tree. It empowers your managers to own their own staffing models and budgets for the benefit of the entire organization!
